How to calculate hours worked

For each day, subtract the start time from the end time and then subtract unpaid breaks. 9:00 to 17:00 with a 30-minute lunch is 7 hours 30 minutes. If a shift ends after midnight (22:00 to 06:00), the calculator adds the hours past midnight automatically.

Converting minutes to decimal hours

Payroll usually needs decimal hours: divide the minutes by 60. So 7:30 is 7.5 hours and 7:45 is 7.75 hours.

Overtime

Under the US Fair Labor Standards Act, non-exempt employees must be paid at least 1.5 times their regular rate for hours over 40 in a workweek. Some states, such as California, also require overtime after 8 hours in a day; adjust the threshold above if needed.

Frequently asked questions

How do I calculate hours worked in a day?

End time minus start time, minus unpaid breaks. 8:30 to 17:15 with a 45-minute break is 8 hours.

How do I convert hours and minutes to decimal?

Divide the minutes by 60 and add them to the hours: 6 hours 20 minutes = 6.33 hours.

How is overtime calculated?

Hours above 40 in a week are paid at 1.5 times the hourly rate under federal law. At $20 an hour, 45 hours pay 40 × $20 + 5 × $30 = $950.
